Last updated: 1 October 2026
This policy explains what personal information JPS Surfacing LTD collects through this website, why we collect it, how long we keep it and what rights you have over it. It covers this website only.
Who we are
JPS Surfacing LTD is a commercial surfacing and utility reinstatement contractor based in Hitchin, Hertfordshire. For the purposes of UK data protection law we are the data controller for the information described here.
You can contact us about anything in this policy by email at info@jpssurfacing.com or by phone on 01462 238 983.
To be confirmed before publication: registered company number, registered office address, and whether the company is registered with the Information Commissioner's Office. These should be added here.
What we collect
We only collect what we need in order to answer your enquiry. If you use the quote form on this website, we ask for:
- Your name, so we know who we are replying to.
- Your email address, so we can send you a reply or a quote.
- Your phone number, which is optional, and only used if you would prefer us to call.
- Details of the job, such as the location, the type of work and a rough timescale, so we can price it accurately.
- Your consent, recorded as a tick on the form, confirming you are happy for us to contact you about the enquiry.
We do not ask for any other information through this website, and we do not collect payment details. We use Google Analytics, but only if you accept it, and we do not run advertising tracking at all.
Why we can use it, and what for
We use the information only to respond to your enquiry, prepare a quote, and where relevant carry out the work you have asked about. Our lawful bases under UK GDPR are:
- Consent, which you give by ticking the box on the form. You can withdraw it at any time by emailing us.
- Legitimate interests, specifically responding to enquiries about our services and keeping a record of quotes we have issued.
We will not add you to a marketing list, send you newsletters, or use your details for anything unrelated to your enquiry without asking you first.
Who we share it with
We do not sell your information, and we do not share it for marketing. Your enquiry is handled by the following parties:
| Who | Why |
|---|---|
| Our email provider | Enquiries are delivered to our inbox by our email host, which processes the message in transit and stores it in our mailbox. |
| Star Websites | Our website developer receives a blind copy of each enquiry so that faults with the form can be identified and fixed. They do not use your details for any other purpose. |
| Our web host | The company hosting this website processes the form submission as it passes through the server. |
To be confirmed before publication: the names of the email provider and hosting company should be stated here, along with confirmation of whether any of them store data outside the UK or EEA.
How long we keep it
We keep enquiry emails for as long as we need them to deal with the enquiry and any work that follows from it. Where an enquiry does not lead to work, we aim to delete it within 24 months. Where it does lead to work, we keep the records for as long as we need them for the contract, and for any period required for tax, insurance or legal reasons.
To be confirmed before publication: the client should confirm these retention periods match how the business actually works.
Your rights
Under UK data protection law you have the right to:
- Ask what personal information we hold about you, and get a copy of it.
- Ask us to correct anything that is wrong or incomplete.
- Ask us to delete it, where we have no continuing reason to keep it.
- Ask us to restrict how we use it, or object to us using it.
- Withdraw your consent at any time.
- Ask for a copy in a portable format.
To do any of these, email info@jpssurfacing.com. We will respond within one month. There is no charge.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint, or by calling 0303 123 1113.
Cookies
This website sets two Google Analytics cookies, and only once you have accepted them. Nothing is stored on your device before you choose, rejecting is one click, and you can change your mind at any time. Our Cookie Policy lists each cookie, what it does and how long it lasts.
Security
Form submissions are sent over an encrypted connection and delivered to our mailbox using an authenticated, encrypted email connection. No system is completely secure, so please do not send sensitive personal information through the form.
Changes to this policy
If we change how we handle personal information, we will update this page and change the date at the top.
This policy has been drafted to describe what this website actually does. It is not legal advice, and it should be reviewed by the business, and where appropriate a solicitor, before it is relied on.
